1. About Dementia Trials Navigator and This Policy
Dementia Trials Navigator is a website that helps individuals and caregivers find nearby Alzheimer's disease, dementia, and related clinical trial sites. This Privacy Policy explains what information we collect when you use Dementia Trials Navigator, how that information is used, with whom it is shared, and what choices you have.
Dementia Trials Navigator is a search and discovery tool only. It does not determine your eligibility for any clinical trial, make medical recommendations, or provide medical advice. Eligibility must be confirmed directly with the trial site, sponsor, or a qualified healthcare professional.
IMPORTANT: Clinical trial listings displayed on Dementia Trials Navigator are drawn from ClinicalTrials.gov, a publicly available federal database. ClinicalTrials.gov records are submitted by trial sponsors and may be outdated, incomplete, or contain inaccurate contact information. Dementia Trials Navigator does not independently verify the accuracy or currency of any listing. Always contact the trial site or sponsor directly to confirm enrollment status, eligibility criteria, and current contact information.
Please read this Policy carefully. By using Dementia Trials Navigator, you acknowledge that you have read and understood it.
2. Information We Collect and How
A. Search Inputs You Provide
To find nearby trial sites, Dementia Trials Navigator asks you to provide certain search inputs. These inputs fall into two categories based on how they are processed:
Inputs transmitted to our backend server and used for matching:
- Location - ZIP code, city or place name, or, if you choose to share it, your browser's current geographic coordinates (latitude/longitude)
- Search radius - the distance from your location within which you want to find trial sites
- Condition selection - Alzheimer's disease, dementia, or a related condition selected from a predefined list
- Study status preference - for example, actively recruiting or all statuses
Inputs collected in your browser only (not transmitted to our server):
- Age range
- Caregiver availability
- Study partner availability
- Remote study preference
Browser-only inputs are used solely to filter or adjust results displayed on your screen after our server returns them. They are not transmitted to Dementia Trials Navigator servers and are not retained after your session ends. We treat these values as sensitive health information and do not store or transmit them.
URL Query String Notice: Search inputs transmitted to our backend (location, radius, condition, and study status) are currently included in URL query strings - the portion of a web address following the "?". As a result, those values may appear in your browser's address bar and browsing history, and may be captured in server access logs, content delivery network (CDN) logs, application monitoring systems, and third-party dependency telemetry. We are aware of this and are evaluating technical measures to reduce this exposure in future versions of the platform. Please exercise caution when using Dementia Trials Navigator on a shared or public device.
B. Automatically Collected Technical Information
When you visit Dementia Trials Navigator, our servers and third-party infrastructure providers automatically collect standard technical data, including:
- IP address in infrastructure access logs; browser support telemetry uses the address temporarily for coarse geolocation and does not retain the raw address
- Browser type and version
- Operating system
- Sanitized page route and time of access
- Referring website hostname, without its path or query string
- An ephemeral support-session identifier held only in memory and regenerated when the page reloads
- Bucketed active-page duration and fixed support events such as search started, succeeded, or failed and site details opened
- URL query strings, which may include your search inputs as described above
This information is used for security monitoring, diagnosing technical problems, and improving the platform. It is not used to build individual user profiles or for advertising. Browser support telemetry does not include search text, location, condition or eligibility selections, study or site identifiers, contact details, full URLs, or request and response bodies.
C. No User Accounts or Saved Searches
Dementia Trials Navigator does not require or offer user accounts. We do not save your searches, retain your search history, or associate any search inputs with an identified individual across sessions. The support-session identifier is not stored in a cookie or browser storage and does not persist across page reloads.
3. How We Use Your Information
We use the information described above solely to:
- Query ClinicalTrials.gov and return nearby trial site results matching your location, condition selection, and study status preference
- Geocode your location input (convert a ZIP code or place name into geographic coordinates) to enable distance-based search
- Classify and filter returned studies using Alzheimer's and dementia condition taxonomy logic (including MeSH-based classification) to ensure results are relevant to the intended disease area
- Group returned studies by trial site and present nearby results to you
- Apply browser-side preference filters to adjust displayed results
- Monitor platform performance, diagnose errors, and maintain security
We do not use your search inputs for advertising, marketing, or commercial purposes. We do not sell, rent, lease, or trade any user information to third parties.
4. Information Shared with Third Parties
Operating the Dementia Trials Navigator search experience requires sharing certain search-related information with the following third-party services. We do not control these parties' own data practices; their privacy policies govern their use of information they receive from us.

We do not currently execute Business Associate Agreements (BAAs) with the third parties listed above because the search inputs currently transmitted - location, broad condition category, and study status - do not constitute Protected Health Information (PHI) under HIPAA in isolation. If the platform is modified to transmit clinical assessment values or other individually identifiable health information to our backend or to third parties, this analysis and our third-party agreements will be updated accordingly.
5. HIPAA and Health Information
Dementia Trials Navigator is not a Covered Entity or Business Associate under the Health Insurance Portability and Accountability Act (HIPAA). The search inputs currently transmitted through our backend - location, search radius, broad condition category, and study status - are not individually identifiable health information and do not constitute PHI as defined under 45 C.F.R. ยง 160.103 when considered in isolation.
Age range, caregiver availability, study partner availability, and remote-study preferences are processed entirely within your browser and are never transmitted to Dementia Trials Navigator servers or any third party.
If the platform is updated to collect or transmit clinical assessment fields, we will update this Policy, evaluate all applicable legal obligations, and implement appropriate safeguards - including BAAs where required - before doing so.
6. Data Retention
Dementia Trials Navigator does not maintain a production database of user search records. Our backend uses short-lived in-memory caches solely to improve performance:

These caches store aggregated search results, not individual user records, and expire automatically. SiteCompass operational logs and browser support telemetry in our Azure monitoring workspace are currently retained for 30 days. Other server access logs retained by our infrastructure providers are subject to those providers' own retention schedules and data practices.
7. Cookies and Tracking Technologies
Dementia Trials Navigator uses only essential technical mechanisms (such as session state held in browser memory) necessary for the search tool to function. For support and reliability, we use Microsoft Application Insights without cookies, local storage, session storage, persistent user identifiers, or cross-site tracking. We do not use advertising cookies, behavioral advertising, or third-party marketing pixels. If this changes, we will update this Policy and, where required by applicable law, obtain your consent before deploying any new tracking technologies.
8. Children's Privacy
Dementia Trials Navigator is not directed to individuals under the age of 18. We do not knowingly collect information from minors. Because Dementia Trials Navigator does not require account creation, we have a limited ability to verify user ages. If you are a parent or guardian and believe your child has submitted information through Dementia Trials Navigator, please contact us using the information in Section 13 and we will take appropriate steps.
9. Your Choices and Rights
Because Dementia Trials Navigator does not maintain user accounts or persistent search records linked to identified individuals, most traditional data subject rights - such as access, correction, or deletion of stored records - do not apply in the conventional sense, as we do not retain a profile associated with you.
You may:
- Decline to share your browser's current location and provide a ZIP code or city name instead
- Decline to enter optional browser-side preferences
- Use your browser's built-in privacy controls to limit cookies, location sharing, or browsing history retention
California residents may have additional rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), to the extent applicable. Please contact us at the address in Section 13 for more information. We do not "sell" personal information as defined under California law.
Residents of other jurisdictions with applicable privacy laws may contact us to inquire about rights that may be available to them.
10. Third-Party Links
Dementia Trials Navigator displays links to clinical trial listings, ClinicalTrials.gov, and trial sponsor or research institution websites. This Privacy Policy does not govern those third-party sites. We encourage you to review the privacy policies of any site you visit before submitting information to it. We are not responsible for the content or privacy practices of third-party websites.
11. Security
We implement reasonable technical and organizational measures to protect information transmitted through Dementia Trials Navigator, including encrypted data transmission (TLS/HTTPS). However, no internet transmission is completely secure, and we cannot guarantee absolute security.
As noted in Section 2, search inputs are currently transmitted as URL query string parameters, which may be captured in logs and browser history. We encourage you to exercise caution when using Dementia Trials Navigator on shared or public devices.
12. Changes to This Policy
We may update this Policy as the platform evolves. If we make material changes - particularly if we begin collecting or transmitting additional health information, introduce user accounts, or add new third-party data sharing - we will post a prominent notice on Dementia Trials Navigator with an updated effective date at least [30] days before the change takes effect where practicable. Your continued use of Dementia Trials Navigator after the effective date of any changes constitutes acceptance of the revised Policy.
